AI workflow automation

AI workflow automation for Vancouver businesses

Most of the work that slows a business down is not hard; it is repetitive. Someone reads an email, works out what it is, copies the details into another system, drafts a reply and chases the answer. Multiply that by every request, every day, and it is a whole person’s job.

We take those queues and turn them into systems that read the documents, decide what matters, draft the response and escalate the exceptions to a person with the full context attached. The workflow stays yours — the same steps, the same people, the same approvals — and the repetitive parts stop landing on your team.

In practice

AI workflow automation: what we build

Intake and triage

Emails, forms, uploads and phone notes read as they arrive, classified, checked for what is missing and routed to the right person or queue.

Document processing

Invoices, applications, contracts and IDs read and checked against your rules, with the extracted data written into the systems you already use.

Drafting and follow-up

Replies, reminders and chasers drafted in your tone for a person to approve, or sent automatically where you have decided that is safe.

Review and approval

Human review points wherever the process needs judgment, with an audit trail of what the system did, what the person decided and why.

A good fit when

  • The same kind of request arrives many times a week and is handled by hand.
  • Information is re-typed from emails or PDFs into another system.
  • Work waits because someone has to notice it, sort it or chase it.
  • Mistakes come from missed steps rather than hard judgment calls.

How an engagement runs

One week mapping the real workflow with your team, exceptions included. Two to three weeks proving one workflow on your own documents and systems, against an evaluation set agreed up front. Then the production build — integrations, permissions, monitoring and review points — shipped behind your authentication, in your cloud, and handed over with documentation and training.

We work on site with teams in North Vancouver, West Vancouver and Downtown Vancouver.

Clients upload documents from a phone; the system sorts and checks each one, and the broker reviews, chases what is missing and creates the file in Velocity.

Questions we are asked

How long before something is running?

Workflow mapping takes about a week. A working proof on your own documents and systems follows in two to three weeks, with an evaluation set agreed up front so the go or no-go decision rests on evidence.

Does the AI act on its own?

Only where you decide it should. Most workflows start with the system preparing the work and a person approving it; a step moves to automatic once the evaluation results show it is reliable. Every action is logged.

Do we have to change our software?

No. We build around the systems you already use — email, CRM, accounting or industry software — and connect to them through their APIs or exports. The point is to fit your process, not replace it.

Where does our data go?

The system is deployed into your cloud, behind your authentication. Where documents must not leave your infrastructure, we use models hosted in your own account or open-weight models.

Call us, or email a short description of the process and where it hurts. We’ll give you an honest read on whether AI is the right tool for it — and if it isn’t, we’ll say so.
